Privacy
RouteCatch builds and runs the system a service business uses to handle its customers, route, visits, invoices and inquiries. This page says what information that involves, what we do with it, and what we never do.
Whose information it is
Everything in a business's system about that business and its customers belongs to the business. We hold it so the system can run. We do not use it for anything else, and we do not sell, rent or share it with anyone for their own purposes.
What the system holds
- The business's customers: names, service addresses, phone numbers, email addresses, gate codes, prices and service days, as the business enters or imports them.
- The work: visits, check-in and check-out times, photos taken on site, notes, parts and chemicals used, and repairs a customer approved.
- Money: invoices, what was paid and how. Card and bank payments are taken by the business's own Stripe account; we never see or store full card or bank numbers.
- Inquiries: what someone types into a business's inquiry form: name, phone, email and message.
- People who use it: the owner's and technicians' names, phone numbers and the private links they sign in with.
Email, when a business connects its own mailbox
A business can connect its Google email so that invoices and reminders go to its customers from its own address. When it does, the system asks Google for permission to send email as that account and to read its messages, which is used only to see what has already been sent to a customer so nothing is sent twice and replies are not missed. We do not delete email, we do not read mail for any other purpose, and nothing is sent without the business asking for it. The business can disconnect at any time from its own screen, or from its Google account settings.
Text messages
Where a business turns on text messages, texts are sent from a number registered in that business's name, to its own customers, about their service: a missed call, a visit, a bill. Anyone can reply STOP to stop them. Phone numbers are never used for marketing and are not shared with anyone else.
Who else touches it
A small number of companies run parts of the system for us, each only for that job: Supabase (the database), Vercel and Cloudflare (hosting), Google (email, when connected), Stripe (payments, in the business's own account), Twilio (text messages, when turned on) and Anthropic (the AI that helps answer a customer's text, when that is turned on, and helps read a business's records for an audit).
How long we keep it, and getting it back
We keep a business's information for as long as it uses the system. A business can download all of it at any time from its own screen. When a business stops, we hand over a full export within 14 days and delete our copy once it confirms it has it.
Security
Information is sent over encrypted connections, access is limited to the people and screens that need it, and each screen can only reach its own business's records.
